Where you attach a customer
There are two places the POS asks who the sale is for:
- The Customer button on the sale screen — opens Select Customer, where you can search, browse, view someone's purchase history, or add a new customer. Use this any time you want the sale tied to a person.
- The Customer Info prompt at checkout — appears on its own when the item, the payment type, or the order type requires a customer (see Sale Requirements). It asks for a phone number and a name.
Searching
Both screens search on name, phone number, email, and customer code. Type at least two characters and results appear as you go. Every word you type has to match, so "maria santos" finds Maria Santos but not Maria Cruz.
Phone numbers are matched however they were saved. Typing 09171234567, +639171234567, or 0917 123 4567 all find the same person, and a customer saved in one format is found when you type another.
Results come from the device first
Your store's customers are downloaded to the POS on every sync, so lookup runs on the device. Matches appear the moment you type — there is no waiting on the network, and search keeps working when the connection drops or the line is slow. The POS still checks the server in the background to catch anyone created on another device since your last sync, and adds them to the results when the reply arrives.
If you are offline, Select Customer shows an Offline — showing customers from last sync notice so you know the list is from the device.
How the phone prompt fills in a name
In the Customer Info prompt, the name fills in automatically once the number you've typed identifies one customer — you'll see a green Found: line with their name. Until then nothing is filled in.
A partial number never picks someone for you. A few digits like 0917 are shared by thousands of numbers, so the POS waits for a full number rather than guessing and billing the wrong account. If two different customers could match, it leaves the field blank and lets you choose — open Select Customer to pick the right one.
Adding a new customer
Press New on the Select Customer screen, or just type the name into the Customer Info prompt and press Confirm. Name is required; phone and email are optional but a phone number is what makes the customer findable next time — and delivery orders require one so the driver can coordinate the drop-off.
You can add customers while offline. The customer is created on the device, attached to the sale straight away, and uploaded automatically the next time the POS reconnects.
If a customer doesn't come up
- Added on another device or on the web today? Run a sync from the dashboard. New customers reach this device on its next sync.
- Check the number's format. Search on the last few digits of the mobile number rather than the whole thing if you're unsure how it was entered.
- Try the name or customer code. Some customers, especially those who signed up in the app, have no phone number saved.
- Still nothing? Add them as a new customer. Duplicates can be merged later; a sale with no customer attached cannot be linked back to one.
