Overview

Cross-Store Fulfillment lets a single POS device act as a fulfillment hub for multiple stores. When customers place online orders on another store's website, those orders are routed to your POS for preparation and payment collection.

Key principle: The sale, inventory, and accounting always stay on the originating store's books. Your POS just handles the physical fulfillment and cash collection. A settlement report helps you track what you collected on behalf of each store.

Setting Up Fulfillment Links

  1. Go to Settings → POS Settings.
  2. Scroll down to the Fulfillment Hub section.
  3. Use the Link a Store dropdown to select a store you want to fulfill orders for. Only stores you have access to are shown.
  4. Click Link Store. The linked store will appear in the table above.
  5. To remove a link, click the Unlink button next to the store name.

How It Works

1. Online Order is Placed

A customer places an order on the linked store's online storefront. The system detects the fulfillment link and sends a push notification to your POS device instead of (or in addition to) the linked store's own devices.

2. POS Receives the Order

The incoming order appears on your POS with a label showing which store it belongs to. Cross-store orders are visually distinguished so your staff knows the order is for another store.

3. Accept and Process

Your staff accepts the order just like any other incoming order. When they finalize it through the POS checkout:

  • Inventory is deducted from the originating store's stock (not yours)
  • The sale is recorded under the originating store's sales history
  • Payment collected (cash/card) is added to your current cash session
  • Accounting journal entries post to the originating store's ledger

4. Cash Session Tracking

When you close your shift, the session summary includes a Cross-Store Breakdown showing how many orders and how much you collected for each linked store.

Settlement Report

Navigate to Reports → Cross-Store Collections to see a comprehensive view of all payments collected on behalf of linked stores:

  • Summary cards — total orders fulfilled, cash collected, non-cash collected, grand total
  • Per-store breakdown — how much was collected for each store
  • Recent orders — individual cross-store transactions with receipt numbers and payment status

Use the date filter to view any period. This report is essential for reconciling and settling amounts with linked store owners.

Important Notes

  • You must have user access to both your store and the linked store to create a fulfillment link.
  • Unlinking a store stops future orders from being routed but does not affect existing orders already processed.
  • The originating store's owner can still see all their sales in their own dashboard — the fulfilling store is recorded for reference.
  • Commission/fee tracking between stores is not yet automated — use the settlement report for manual reconciliation.
