POS Inventory Hub & Receiving History

From POS app 2.31, tapping Inventory on the dashboard opens the Inventory Hub — a launcher that shows the state of your stock and puts every inventory task one tap away. (Previously the module opened directly into stock counting, with other tasks hidden behind a menu.)

The Stats Strip

  • SKUs tracked — how many active products have inventory tracking on.
  • Low / out of stock — an orange alert with the number of products at or below their minimum stock level, or fully out of stock. Tap it to see the exact products with current vs. minimum quantities. To enable the threshold for a product, set its Min Stock Level on the product form.
  • Last received — when stock last arrived (goods receipt or internal transfer).

Task Cards

  • Receive Items — record incoming stock, from a supplier (with or without a purchase order) or an internal transfer using the 8-digit dispatch code.
  • Stock Count — count shelves and correct system quantities for the selected room.
  • Waste / Lost — write off damaged, expired, or missing stock. These write-offs are labeled distinctly in the activity log so shrinkage is easy to spot.
  • Receiving History (requires inventory view access) — see below.
  • Rooms (requires inventory manage access) — storage rooms and their stock levels.

Receiving History

Every stock-in transaction recorded for the store, newest first — supplier goods receipts, purchase-order receipts, and received internal transfers, whether they were recorded on the POS or the web portal. Each entry shows the reference number, supplier or room route, date, who received it, item count, and total cost; tap to expand the full line items with destination rooms. Voided and consignment receipts are flagged. You can also reach it from the Receive Items screen.

Recent Activity

Staff with inventory view access see the store's latest inventory events right on the hub — receipts, transfers, stock counts, waste write-offs, and adjustments, each with who did it and when. It refreshes automatically when you return from a task, so a cashier can receive a delivery and immediately see it recorded. View all opens the full scrolling feed.

Who Sees What

Access is role-based: everyone who can open the module gets the stats and task cards; Receiving History, the activity feed, and View all require the inventory view capability; Rooms requires inventory manage. Owners always have full access. Capabilities are managed under Roles & Permissions on the web portal.

Note: recording stock movements still requires the device to be authorized to adjust inventory (Settings → POS → Devices → "Can adjust inventory") and to have a room assigned — the hub's read-only views work on any device.

Requiring Delivery Photos When Receiving Stock

You can ask staff to photograph deliveries as they receive stock on the POS — proof of what actually arrived, and of the supplier's delivery receipt. This helps catch short deliveries and disputes, and every photo is filed in your Gallery against the goods receipt.

Turning It On

Go to Settings → POS and find the Inventory Receiving card. In Delivery & product photos choose one of:

  • Off — no photo step (default). Nothing changes for staff.
  • Optional — the POS offers the photo step but staff may skip it.
  • Required — staff must photograph the delivery receipt and at least one product before the receipt can be submitted.

Save the page. The setting reaches each POS device the next time it loads store settings (on login or a settings refresh).

What Staff See on the POS

After entering the received quantities and confirming with a PIN — whether receiving against a purchase order or as a direct receipt — a photo step appears:

  • Delivery Receipt — a single photo of the supplier's delivery note or invoice.
  • Products Received — one or more photos of the goods. Add a shot per item, or capture a weighing-scale reading for items sold by weight.

Photos are taken with the camera only — there is no option to pick an existing image from the gallery, so a receipt can't be padded with old photos. On Required, the Done button stays disabled until a delivery receipt and at least one product photo are captured.

Where the Photos Go

Each photo is compressed on the device, uploaded, and saved to your Gallery. It is also attached to the goods receipt, so you'll see the delivery and product shots on the receipt's detail page in the back office.
