Where You'll Receive HR Documents
When your employer issues you a formal document — a Notice to Explain, Return to Work Order, Certificate of Employment, and so on — it reaches you in one of these ways:
- Email — a message with a secure link. No login is needed; the link is valid for 30 days.
- Telegram — the same link sent by your store's bot, if your Telegram is linked.
- Printed copy — handed to you in person for physical signing.
- Your portal — everything issued to you is always listed under Workplace → My Documents, in the "HR Documents Issued to Me" section. If you lose the email or the link expires, open it from here with Open & Respond.
Reading and Responding
The document page shows the full notice. Below it is the Acknowledge & Respond section:
- Read the document carefully. If a response deadline applies, it's shown on the page and in your portal list.
- Type your written response or explanation in the response box. For a Notice to Explain this is your side of the story — take the space you need.
- Sign in the signature box with your finger or mouse, then press Acknowledge & Sign.
Signing acknowledges that you received the document — it does not mean you agree with its contents. Your response and signature are recorded with a timestamp and can't be edited after submitting, so review before you press the button.
After You Submit
- The document shows as Acknowledged for you and for HR.
- You can re-read what you submitted anytime: reopen the link, or use the My Response button in My Documents.
- If you were handed a printed copy instead, sign the paper — HR attaches the scanned copy to your record.
Mind the Deadline
Documents like a Notice to Explain usually give you a set number of days to respond. Your portal list shows the due date and flags it Overdue in red once it passes. Not responding within the period is generally treated as waiving your chance to explain, so don't sit on it — if you need more time, tell your HR or manager before the deadline.
