Track required employee documents (government IDs, clearances, contracts) based on the Philippine 201 file standard. Define what documents your store requires, and track compliance per employee.
Setting Up File Types
- Go to HR → 201 Files → Manage Types.
- The system comes with 14 default types across 4 categories:
- Government — Government ID, SSS, PhilHealth, Pag-IBIG, TIN
- Personal — Birth Certificate, Marriage Certificate, NBI Clearance, Barangay Clearance
- Employment — Resume, Medical Certificate, Employment Contract
- Education — Diploma/TOR, Training Certificates
- Add, edit, or remove file types as needed. Mark types as required or optional.
Compliance Dashboard
The 201 Files overview page shows a matrix of all employees vs. required documents, with color-coded status indicators:
- Pending — not yet submitted
- Submitted — uploaded by the employee, awaiting review
- Verified — reviewed and approved by HR
- Rejected — needs to be resubmitted
Per-Employee Tracking
On each employee's edit page, the 201 File Checklist section shows their document status. HR staff can:
- Upload documents on behalf of the employee
- Verify submitted documents with notes
- Reject documents with a reason for resubmission
Uploaded files are stored in the Gallery under the Documents tab.
