Expense Import & Payment Accounts

Jul 10, 2026 · 1 views

Two features make expense entry faster and your books cleaner: CSV bulk import for catching up on backlogs, and GL-account-based payment so each expense credits the actual cash or bank account it was paid from.

CSV Bulk Import

From the Expenses page, choose Import CSV and drag your file in. The importer:

  • Maps columns automatically using common header aliases, with a manual mapping fallback.
  • Shows a full preview before anything is saved.
  • Auto-matches suppliers by name.
  • Lets you pick the VAT treatment per import (VAT-inclusive amounts split Input VAT to account 1060 automatically).
  • Applies defaults for unmapped columns so simple files import without configuration.

Paying from a GL Account

Expenses are paid from a cash or bank GL account you choose — independent of POS payment types. The account picker appears on the expense form and the mark-as-paid modal, showing each account's code inline. The journal entry credits the selected account, so your bank and cash-on-hand balances in the books track reality.

Linked Journal Entries

Each expense shows all of its linked journal entries. If an entry was created separately, use the manual linker with fuzzy search to attach it.

Reminder: Philippine VAT is inclusive — the VAT portion is computed as amount × rate ÷ (100 + rate). The tax field stays editable because receipts can mix VATable and exempt items.
